Terms of Service

1. Introduction
These Terms of Service (“Terms”) govern your use of the services provided by ReceptionPro (Netmaxis UK) (“ReceptionPro”, “we”, “us”). By signing up or using our services, you agree to these Terms.
2. Service description
ReceptionPro provides AI-powered voice agent services that answer telephone calls, qualify callers, book appointments, and send SMS confirmations on behalf of your business. The specific features and call minutes included depend on your chosen pricing plan.
3. Accounts and onboarding
- You must provide accurate information during onboarding.
- You are responsible for maintaining the confidentiality of any access credentials.
- You must be authorised to enter into this agreement on behalf of your business.
- Setup is typically completed within 2–3 business days of payment and completed onboarding.
4. Fees and payment
- Services are billed monthly in advance after an initial one-off setup fee.
- All fees are in USD unless otherwise stated.
- Overage calls (beyond your plan's included minutes) are billed at $0.20/minute.
- Payments are processed via Stripe. By subscribing, you authorise recurring charges.
- We reserve the right to suspend services for unpaid invoices after 7 days notice.
5. Cancellation
You may cancel your subscription at any time by contacting us at hello@receptionpro.co.uk. Cancellations take effect at the end of the current billing period. Setup fees are non-refundable. Monthly fees are non-refundable once the billing period has started.
6. Acceptable use
You agree not to use our services to:
- Engage in fraudulent, deceptive, or illegal activity
- Impersonate any person or business
- Violate any applicable laws or regulations
- Harvest or misuse caller data
We reserve the right to terminate accounts that violate these terms without refund.
7. Intellectual property
All software, AI models, voice templates, and materials provided by ReceptionPro remain our intellectual property. You are granted a limited, non-exclusive licence to use the service during your subscription. Custom voice clones created for your account remain yours.
8. Limitation of liability
To the maximum extent permitted by law, ReceptionPro shall not be liable for any indirect, incidental, special, or consequential damages arising from use of our services. Our total liability shall not exceed the fees you paid in the 3 months preceding the claim.
We do not guarantee that our service will be uninterrupted or error-free, though we aim for 99.9% uptime.
9. Data and privacy
Call recordings, transcripts, and caller data are processed in accordance with our Privacy Policy. By using our services, you confirm you have appropriate legal bases for processing caller data and have informed callers they may be speaking with an AI system where required by law.
10. Changes to terms
We may update these Terms from time to time. We will notify active clients by email with at least 14 days notice of material changes. Continued use of the service after the effective date constitutes acceptance.
11. Governing law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
